CMS7 Reports

A number of Crystal Reports come with CMS7, but the whole idea of these reports are that they are easy to create and distribute independent of CMS7. Each report is an individual file with a small file size. In this way, you only download the reports that are of interest to you and you can also delete others that are shipped with CMS7 if they are not relevant.

You can export Crystal Reports as a PDF, Word document, HTML or to Excel making them simple to distribute to managers or stakeholders.

If you are on a CMS Technical Support and Maintenance contract, exeGesIS offer a service writing Crystal Reports. You can also write your own reports if you have a full version of Crystal Reports 10. Note that if you use Crystal Reports 11, there may be some functions that will not be supported by the Crystal Reports 10 Viewer in CMS.

Crystal Reports are accessed from two different places in CMS. They are:

- Main Screen - Standard Reports - Crystal Reports

- Recording and Custom Reports - Reporting - Crystal Reports

The difference is that the former reports run on overall site issues whilst the second set run on filters on your data that you set up in the Annual Project Index. These reports are stored in different folders on your PC so follow the download instructions for the different reports carefully.


Standard Reports

To use one of the Crystal Reports below, all you have to do is click the link and save the file to your c:\program files\cms7\reports\filtered directory. Next time you open the Crystal Report dropdown list in CMS7, you will see the report.

Work Plan: Use this to produce a work plan listing the projects that any member of staff for the period of time that you specify. View example. Last updated 09/10/2006. Report Title: WorkPlan.rpt

Feature Status: Use this to run a report on the status of all Features on the site. The feature name, date of assessement, condition and details on the assessment (held in the Comment field) are all displayed. View example. Last updated 09/10/2006. Report Title: FeatureStatus.rpt

A Monthly Report of Completed Projects: This report lists all projects that have been tagged as finished or done in the Annual Project Record window and has their Actual End Date within the month you have asked the report to run for. Filtered Reports

To use one of the Crystal Reports below, all you have to do is click the link and save the file to your c:\program files\cms7\reports\CMSfiltered directory. Next time you open the Crystal Report dropdown list in CMS7, you will see the report.

Compartment Projects: Produces a list of all projects scheduled to occur within the filtered date range (in Annual Project Index) within each Site Compartment. Conservation Evidence.com report: Conservation Evidence.com is a website that collates information on the effectiveness of conservation practice. Practioners are encouraged to submit reports on work they have done that they would like to share the results of with other conservation managers. It is not restricted to the UK. This report packages reports entered into CMS into a format that replicates the data entry form on the website. It is inevitable that some editing is required but most of the entry will be copying and pasting from your CMS data. For this report to work, you need to put an code into the External Links code with the code "CEV" and then tag the project with this code. View Example. Last updated 09/10/2006. Staff Diary: A summary of all the Staff Diary in filtered date range in report format. View example. Last updated 09/10/2006. Report Title: DiaryEvents.rpt

Staff Diary - Raw Data: Spreadsheet format of all the Diary Staff Time Events for export to Excel for further analysis. View example. Last updated 09/10/2006. Report Title: DiaryTime_rawdata.rpt

Expenditure Diary: A summary of all the Expenditure Diary Events in report format. View example. Last updated 09/10/2006. Report Title: ExpenditureDiary.rpt

Expenditure Diary - Raw Data: Spreadsheet format of all the Diary Expenditure Events for export to Excel for further analysis (improved 15/11/05). View example. Report title: DiaryExpenditure_rawdata.rpt

External Links: This report is used to report on the planned time and expenditure linked to projects tagged to external themes e.g. funding sources, biodiversity projects or corporate targets. Actual time and expenditure could be added to the report. The report title is customisable and you are asked to filter on an external link tag before running the report. View example. Monthly Staff Report: This report shows all the work in the Diary for one or more members of staff for a given time range. View example. Last updated 09/10/2006. Report title: Monthly_Staff_Report.rpt

Multi Site Designation Reporting: A report that creates feature status reports and details of monitoring projects across sites with multi-designations (the features on the different sites must be linked using the Linked Features option in the Features Window - you may have to switch this option in System Manager customisation). Planned Expenditure: There are a series of reports looking at planned expenditure. One lists all the planned expenditure for projects filtered in the Annual Project Index grouped by project code (PlannedExpenditure.rpt), one lists all these projects grouped by financial code (PlannedExpenditureByCode.rpt), another totals all the projects by code (PlannedExpenditureTotals.rpt) and one presents the data so it can be easily exported to Excel for further analysis (PlannedExpenditure_RawDataForFurtherAnalysis.rpt). Progress Reports: These reports compare work done against work planned. There are a series of reports based on if you are reporting on a single site, multi sites or reporting at a regional level with all times and costs summed at this level. View example. Project Plan List: This report lists all the project plans contained in your filter in the Annual Project Index without the project description. View example. Last updated 10/10/06. Report title: ProjectPlansList.rpt

These are only examples of reports that can be run in CMS - the list of possibilities is endless and Crystal Reports offers the mechanism for getting data out of CMS in the format that you want.
